Step-by-Step Video Submission Guidelines
1) What to Submit
- YouTube Highlight: 4–6 minutes, horizontal (1920×1080).
- Reels/Shorts (optional): 15–30 seconds each, vertical (1080×1920).
- Soundbites/Interviews: Each clip under 1 minute.
- Raw B-roll (optional): 10–15 steady clips, 5–7 seconds each.
2) Shooting Basics (Phone or Camera)
- Clean the lens; set 1080p, 30 fps.
- Orientation: Don’t rotate mid-shot (horizontal for YouTube; vertical for Reels).
- Use the grid, tap-hold to lock focus/exposure.
- Avoid digital zoom; step closer.
- Keep shots steady (two hands or tripod).
- Capture 10 seconds of room tone in a quiet spot.
3) Shot List to Cover
- Scene setters: venue exterior, hall/mandap wide.
- Prep & action: décor, rangoli, rehearsals, prasad prep, volunteer briefing.
- Details: hands at work, diyas, flowers, instruments.
- Community: kids/elders (with consent), accessibility, safety/first-aid.
- Partners/Sponsors: logo boards, banners.
4) Interviews / Soundbites (<1 min each)
- Quiet spot, subject facing natural light; chest-up framing.
- Ask them to include the key fact in their first sentence.
- Record two takes; confirm name & title spelling.
Prompt ideas:
- What’s new at this Pujo and why it matters?
- How many volunteers—what’s the vibe?
- One way people can participate/support?
- How are you making it accessible/eco-friendly?
5) Edit Structure (if you’re editing)
YouTube (4–6 min)
- Cold open (3–5 best shots) → Title card
- Organizer soundbite (what’s new)
- Prep montage (b-roll)
- Volunteer soundbite (how it’s coming together)
- Community montage (rehearsals, décor, accessibility)
- Closing soundbite (invite + dates)
- End slate (event name • dates • venue • website/handle)
Reel (15–30s)
Hook visual → 2–3 b-roll beats → one-line invite → end slate. Keep text inside safe margins (avoid top/bottom 10%).
6) Graphics, Text & Music
- Lower-third: Name — Role, Organization.
- End slate: Event • Dates • Venue (postcode) • @handle / website.
- No copyrighted music in submissions. Send clean/natural-sound; licensed music will be added at publish time.
7) Export Specs
- Format: MP4 (H.264), 1080p, 30 fps.
- Audio: AAC, 48 kHz.
- File size: aim <1 GB per file (okay if slightly over for YouTube cut).
- Thumbnails (optional): 1920×1080 JPG/PNG.
8) File Naming

9) Captions & Notes (one short doc or email body)
Include:
- Clip list: one line per file (what/where/who/date).
- Interview names & titles: exact spellings.
- On-screen text to use (if any).
- End-slate details: event name, dates, venue/postcode, website/handles.
- Consent notes: e.g., “Parent consent for children in dance rehearsal.”
10) Credits & Byline
- Video credit format: Video: /.
- If accompanying an article, include your byline, headshot, and 30–50 word bio (optional but encouraged).
11) Consent & Safety
- Ask before close-ups; written consent for minors if faces are clear.
- Follow venue rules; don’t block aisles/exits; be respectful in sacred areas.
12) How to Submit
- Upload to Google Drive / Dropbox / WeTransfer.
- Share one folder containing: YouTube cut, Reel(s) (optional), and/or raw clips, plus your caption/notes doc.
- Email the link with: your name, mobile, email and event contact.
13) Acceptance Checklist (quick)
- YouTube cut 4–6 min (horizontal, 1080p)
- Reels 15–30s (vertical, 1080×1920) (optional)
- Each interview <1 min, clear audio
