This position ensures operational excellence by monitoring deliveries, managing dispatch, confirming job readiness, proactively alerting stakeholders, and verifying sales accuracy, directly contributing to service reliability and customer satisfaction.
Key Responsibilities
Dispatch & Coordination:
- Oversee dispatch operations, ensuring timely delivery of trailers and on-time mover deployment to scheduled jobs.
- Monitor contractor deliveries, verifying that trailers are delivered as scheduled to prevent delays and customer dissatisfaction.
- Communicate with movers and drivers daily to confirm start times, locations, and expected timelines.
- Coordinate daily delivery routes with the Area Manager group for both internal and 3PL drivers, balancing time windows, customer needs, and fleet availability.
- Adjust and reassign jobs in response to operational changes or exceptions (e.g., weather, driver delays, asset shortages).
Operational Monitoring & Alerts:
- Monitor job completions in real-time and alert the appropriate Area Manager when a job is at risk of delay, missed delivery, or incorrect execution.
- Serve as the point of contact for operations-related escalations during the assigned shift.
- Log all operational exceptions, missed jobs, and issues in designated reports or Slack channels to ensure accountability and visibility.
Communication & Support:
- Maintain continuous communication with Area Managers, Regional Managers, and contractors via Slack, phone, and the scheduling calendar.
- Provide centralized coverage across multiple metros during high-volume periods (1st of month, end of month, weekends).
- Communicate proactively with leadership about staffing, scheduling, and performance issues.
Sales Review & Verification:
- Review all incoming sales to verify that they are correctly booked in the scheduling system.
- Coordinate with sales and operations to correct discrepancies in job details, time windows, or asset availability.
Reporting & SOP Compliance:
- Submit daily shift reports summarizing schedule changes, dispatch activity, escalations handled, and areas for improvement.
- Participate in SOP updates and workflow refinement led by the Operations Support Lead.
- Ensure all scheduling processes align with Flex’s quality standards and customer experience expectations.
