The Opportunity
The Client Experience Manager (CEM) is a mission-critical role responsible for ensuring an exceptional service experience for our clients. As the first point of contact, you’ll own client scheduling, onboarding, communication, and follow-through. You’ll also support operational execution in coordination with our advisors and planning team. We’re looking for someone who is proactive, detail-oriented, tech-savvy, and passionate about client care.
Key Responsibilities
Client Interaction & Experience
- Serve as the first point of contact for client emails, phone calls, and service inquiries
- Proactively manage the client meeting calendar and scheduling process
- Prepare, send, and follow up on meeting agendas, summaries, and action items
- Deliver thoughtful client touches (birthday cards, milestone notes, etc.)
- Track client requests and ensure timely follow-through across the team
Service Operations
- Manage account openings, transfers (ACATs), and document workflows via DocuSign
- Coordinate distributions (RMDs, QCDs, 529s, etc.) and monitor client cash needs
- Work with custodians (Fidelity, Schwab, etc.) to address client servicing requests
- Maintain accuracy in Salesforce and eMoney for all client records
- Assist with billing, reporting, and custodial forms processing
Internal Coordination
- Own Salesforce task management and ensure execution of team deliverables
- Maintain standard operating procedures for client service
- Collaborate with Operations Manager and Director of Planning & Investments on workflow improvements
- Help manage client onboarding from initial engagement through ongoing service
Ideal Candidate Profile
- 3+ years of experience in a client service, client success, or operations role in financial services
- Comfortable with client interaction and has a professional, warm communication style
- Proficient with financial software tools (Salesforce, eMoney, DocuSign, Office Suite)
- Self-starter with excellent follow-through and accountability
- Thrives in a small, fast-paced team with a strong service ethic
- Based in the Pacific Time Zone to work a M-F 8:00a-4:30p PT schedule.
Bonus: Experience with custodians such as Fidelity, Schwab, or TD Ameritrade
